Things to be aware of

As employers you must allow the safety representative to carry out all the necessary elements of their inspection, they will most probably want to talk to some of your employees; these conversations will need to be done in private so you must allow them to do this. They may also want to carry out independent inspections on their own, this will mean that if you have walked around with them for the rest of it that they might want to go off on their own, again you should be aware of this, it doesn't necessarily have to be a negative thing and if you work with them rather than against you should be fine.
You should also have all documents on hand that have the slightest thing to do with health and safety, the people carrying out the inspection are part of promoting health and safety so they will need much more information given to them than you would give to your employees.
Reporting a problem after an inspection
If the representative identifies a problem during the inspection then they will normally write to you with a copy of the report so you are 100% clear on what the issue is. However many of them will normally have already given you a vocal report on the inspection after they have carried out, of if you were with them when they identified the problem. This will particularly be the case if the identified problem buts someone at risk and needs to be stopped and sorted out there on the spot.
If you do receive a written report then you are required to take action to correct the problem, however if you can't give take action within a certain time, don't take any action or take action in a way that the safety representative doesn't think is acceptable then they will ask you to explain your reasons for doing so.
During the inspection the safety representative may fill out a UNISON health and safety inspection report, if this is the case then management should receive a copy of the report. After getting a copy you will then have a section within the report to fill out what action you have now put in place to resolve the identified problem. Don't be surprised if the safety representative wants to come back and re-evaluate your workplace after you have corrected the problem, they themselves will just want to double check this.
