Preparing for an Inspection
If you are able to it is advised that you agree on a date for an inspection well in advance, this allows you to prepare and also to inform your staff with plenty of time. Before carrying out the inspection the safety representative will want to see reports that are covered by the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations act. They will also more than likely want to see any training records, safety data, and other inspection records and risk assessments, they may carry the risk assessments around with them to make sure that all aspects have been covered.
Carrying out an inspection
When carrying out an inspection it is useful to have a checklist of things that will need looking at, you will probably already be aware of what to look out for but this way you know you won't forget anything. You will also need to find the time to talk to all employees, if you are carrying out the inspection for a particular group i.e. if you are from a trade union, it is still important to talk to all employees not just the ones who are part of your union.
Carrying out a safety inspection isn't just about checking for physical hazards that could happen in the work place but it is also about looking at issues like training, working times and workloads, these could also be a source of a problem.
Inspection after an accident
After an accident has occurred then an inspection needs to be carried out to make sure that this won't happen again, the representative carrying out the inspection will still need to give the company some notice but it is important that they get the inspection done as soon as possible. However if there has been an extreme case where someone has been very badly hurt or there was a major collapse of scaffolding it should be treat as a crime scene and everything should be left untouched until either the local authority has been in to look at it or the HSE has.
As well as this anyone who saw the accident happen is required to write down all the details they have concerning the event as soon as they can. As the management of the company after an accident you should not allow anyone to work until the right measures have been put in place to prevent the same accident happening again, if you do try to restart work before this then your employees are advised to report you to their trade union.
